PDF to Excel FAQ
Will every table convert perfectly?
Clean, regularly spaced tables convert well. Tables with merged cells, wrapped text inside cells or irregular spacing may place some values in a neighbouring column. A quick check and tidy in the spreadsheet is usually enough.
Does it work on scanned PDFs?
No. Scans contain images rather than text. Run the file through PDF OCR first, then convert the searchable PDF it produces.
What happens to text that is not in a table?
Headings and paragraphs are placed in the first column on their own rows, in the order they appear, so nothing is dropped.
Why are some numbers stored as text?
Values that contain letters, currency codes or unusual separators are kept as text to avoid changing them. Dates are also kept as text exactly as printed.
XLSX or CSV: which should I choose?
Choose XLSX for Excel and when you want multiple sheets. Choose CSV to import into databases, accounting tools or scripts; with CSV each sheet is exported as a separate file.
How tables are recovered from a PDF
A PDF has no concept of a table. What looks like a grid is simply text placed at particular coordinates, sometimes with lines drawn nearby. To rebuild the table, the converter first groups text into rows by vertical position. It then looks at where the text chunks in those rows start and finds positions that recur down the page; each recurring position becomes a column.
Every chunk is assigned to the nearest column, and values that look numeric are converted to numbers with thousands separators removed. Because the method depends on consistent alignment, results are best for statements, price lists and reports generated by software, and less predictable for hand-laid-out documents.
After converting, take a few minutes to check the spreadsheet before relying on it. Compare the totals of key columns with the totals printed in the PDF, look for rows where a long description has spilled into the next column, and check dates, which may be read as text if their format is unusual. Negative amounts shown in brackets or with a trailing minus sign are worth spot-checking too. Once the structure is right, save the result as a normal workbook so that formulas and filters can be added.
