What is the difference between a receipt and an invoice?
An invoice asks for payment; a receipt confirms that payment has been made. An invoice comes before the money, a receipt after it.
What must a receipt show?
The seller’s name, the date, what was paid for, the amount, any tax, and the method of payment. Some countries require more for tax purposes, such as a tax registration number or a fiscal receipt from approved equipment; check your local rules.
Can I make a receipt for a payment that was not made?
No. A receipt is evidence of a real payment. Creating one for a payment that did not happen, or for a different amount, is fraud. Use this tool only for money you actually received.
How do I record a part payment?
Enter the amount received. If it is less than the total, the receipt shows the balance still due.
Does the customer’s name have to be on it?
Not for ordinary retail sales. It is useful for larger payments, deposits and business customers who need the receipt for their accounts.
Is the receipt stored anywhere?

Proof that money changed hands
A receipt is the simplest of business documents and one of the most useful. For the customer it is proof of payment: for a warranty claim, a return, an expense claim or a tax deduction. For the seller it is a record of income and the end point of a sale. Where an invoice opens a debt, a receipt closes it.
The essentials are few. Who received the money, when, how much, for what, and by what means. Tax should be shown separately where it applies, since business customers need the figure. A unique, sequential number makes receipts easy to file and hard to forge or lose track of. If the payment settles an invoice, quote the invoice number so the two can be matched in both sets of books.
Part payments and deposits deserve particular care. A receipt for a deposit should state the amount received and the balance that remains, so there is no later argument about what has been paid. Cash payments above the total should show the change given. Recording these at the moment of payment is far easier than reconstructing them afterwards.
Receipts are legal and tax records. Issue them only for payments you have actually received, in the true amount, and keep copies for as long as your tax rules require. In some countries certain businesses must issue receipts through certified tills or electronic systems; a document from a generator does not replace that obligation. If in doubt, ask your accountant or tax office.
